What we’re looking for…

We’re looking for a highly organised, enthusiastic and engaging Client Relations Executive to work alongside our multi-award-winning marketing team and help us nurture and drive sales from our existing VIP clients.

The Clients Relations Executive is primarily responsible for assisting the VIP Relations Manager in nurturing some of our top UHNW clients at all stages of their lifecycle; supporting the CRM & Loyalty team in driving client retention. Reporting to the VIP Relations Manager, the Clients Relations Executive will play a key supporting role to provide clients’ world-class experience at all stages of their lifecycle with Black Tomato.

Main Responsibilities:

Assisting the VIP Relations Manager with managing our top UHNW loyal clients, categorised as BT VIPs. Responsibilities will include but are not limited to:

  • Working alongside the relevant travel expert for each booking to ensure travel documents and app documents receive a final check before being sent out to clients; key focus on accuracy of all last-minute changes.
  • Liaising with relevant DMC partners to collate up to date restaurant and in destination event recommendations i.e.; concerts/ art exhibitions etc for VIP bookings.
  • Supporting the VIP Relations Manager to monitor the downloads of the app, pulling a report for clients travelling who need prompting to download.
  • Supporting the VIP Relations Manager with post-trip debrief client calls to gather in-depth feedback and recording this information within the CRM system to then work with the different departments to action any client specific or general feedback.
  • Developing the VIP client profiles within our CRM system to include all household members to enable us to better tailor future trips and outreach activity.
  • Assisting the VIP Relations Manager with arranging client events – including invitations, event planning, logistics and client lists.
  • Supporting the VIP Relations Manager in producing bespoke decks, both proactively and reactively.
  • Supporting the VIP Relations Manager with personalised gifting pre and post trip for each VIP travelling – working with the operations team to develop personalised gifting for these VIPs and then placing orders for these.
  • Birthdays – pulling the monthly birthday report, liaising with VIP Relations Manager for personalised messages, gift selection and ordering.
  • Working alongside other teams within the Leisure department, to deliver the ultimate customer service and experience at all stages of the clients’ lifetime with us.

Skills Required:

  • This entry level role requires 3-6 months’ experience working within a marketing team or similar travel sales environment servicing UHNW clients.
  • Looking for a highly organised individual with acute attention to detail, someone who is passionate about delivering highly personalised, best in class customer service.
  • Strong knowledge of luxury travel destinations, brands and experiences is preferable.
  • Previous experience in luxury would be beneficial.
  • Previous experience of InDesign and PowerPoint preferable.
  • Creative and solution-based attitude.
