What we’re looking for…

We’re looking for a highly organized, enthusiastic and engaging Client Relations Executive to work alongside our multi-award-winning marketing team and help us nurture and drive sales from our existing VIP clients.

The Clients Relations Executive is primarily responsible for assisting the VIP Relations Manager in nurturing some of our top UHNW clients at all stages of their lifecycle; supporting the CRM & Loyalty team in driving client retention. Reporting to the VIP Relations Manager, the Clients Relations Executive will play a key supporting role to provide clients’ world-class experience at all stages of their lifecycle with Black Tomato.

Main Responsibilities:

Assisting the VIP Relations Manager with managing our top UHNW loyal clients, categorized as BT VIPs. Responsibilities will include but are not limited to:

  • Working alongside the relevant travel expert for each booking to ensure travel documents and app documents receive a final check before being sent out to clients; key focus on accuracy of all last-minute changes.
  • Liaising with relevant DMC partners to collate up to date restaurant and in destination event recommendations i.e.; concerts/ art exhibitions etc for VIP bookings.
  • Supporting the VIP Relations Manager to monitor the downloads of the app, pulling a report for clients traveling who need prompting to download.
  • Supporting the VIP Relations Manager with post-trip debrief client calls to gather in-depth feedback and recording this information within the CRM system to then work with the different departments to action any client specific or general feedback.
  • Developing the VIP client profiles within our CRM system to include all household members to enable us to better tailor future trips and outreach activity.
  • Assisting the VIP Relations Manager with arranging client events – including invitations, event planning, logistics and client lists.
  • Supporting the VIP Relations Manager in producing bespoke decks, both proactively and reactively.
  • Supporting the VIP Relations Manager with personalized gifting pre and post trip for each VIP traveling – working with the operations team to develop personalized gifting for these VIPs and then placing orders for these.
  • Birthdays – pulling the monthly birthday report, liaising with VIP Relations Manager for personalized messages, gift selection and ordering.
  • Working alongside other teams within the Leisure department, to deliver the ultimate customer service and experience at all stages of the clients’ lifetime with us.

Skills Required:

  • This entry level role requires 3-6 months’ experience working within a marketing team or similar travel sales environment servicing UHNW clients.
  • Looking for a highly organized individual with acute attention to detail, someone who is passionate about delivering highly personalized, best in class customer service.
  • Strong knowledge of luxury travel destinations, brands and experiences is preferable.
  • Previous experience in luxury would be beneficial.
  • Previous experience of InDesign and PowerPoint preferable.

The Operations Assistant acts as the first point of call for incoming inquiries, introducing and briefing new clients on how Black Tomato works and offering destination inspiration to help guide through the initial stages of a client’s journey. As part of the operations team, you will also form an integral part in ensuring that each stage of the sales and post-booking experience is delivered smoothly – creating travel documents, travel packages and working closely with both Travel Experts and the Loyalty team throughout.

Reporting to the Operations Manager (UK based), the new Operations Assistant will play a key role in developing Black Tomato’s growth and contributing to the overall performance of the fast-paced, forward-thinking business globally.

Main Responsibilities

  • Acting as first point of call for incoming inquiries – demonstrating and communicating a complete overview comprehension of the entire Black Tomato group and its full range of services as well as a thorough global destination knowledge and the ability to provide intuitive product guidance and inspiration.

Studio Black Tomato is an award-winning content creation agency within The Black Tomato Group. We work with a growing portfolio of international brands to produce standout campaigns across the luxury lifestyle sector, and we’re looking for an Account Manager to join the team.

The person should have a bright and energetic attitude to work, and be happy to travel the world to deliver amazing client campaigns. Creativity and organisation are key qualities that you should possess in equal measure, as you’ll be involved in the ideation and delivery of campaigns, as well as being responsible for the daily management of client accounts. A passion for copywriting is also an essential component to the role.

What you’ll do:

  • Excellent client management is central to this role. You will be client-facing on designated campaigns and responsible for building and maintaining those relationships.
  • Deliver top quality campaigns with careful planning and execution, meaning organisational skills are paramount.
  • Map out financial forecasts and schedules to deliver projects on time and within budget.
  • Bring a good eye for design and a new creative mind to the team; our account managers are involved from ideation onwards.
  • Write engaging copy to sell ideas to clients, and subsequently bring those ideas to life. The ability to communicate clearly through copy is essential, as this will span all aspects of your role – from writing daily client emails, campaign proposals and editorial content, to storyboarding, newsletters, social media and beyond.
  • Work across a variety of mediums (including print, digital, video, events etc).
  • Track and report on campaigns for your clients, while analysing any particular highs or lows in engagement.
  • Travel is a regular feature, so this is a great opportunity for anyone with a thirst for discovering new places.

Qualifications:

  • 2+ years previous experience of account management (client-facing preferable).
  • Highly organized with excellent attention to detail.
  • Ability to multitask on many different projects at any given time.
  • Excellent written and oral communication skills.
